What information is collected?
Data is collected through the contact form on the website which include your name, email address and enquiry content. If you ring, text or email, I will keep the information you provide which may include your telephone number, voicemail, text or email address and content. If you wish to book an appointment, I will request a contact number and your address. If you decide to contract I will discuss within our first session how I process any additional information collected.

What do I use this information for?
Your information is used as contact and emergency contact while you attend counselling. I require DOB for clients under the age of 18 to help recognise when the client reaches 18 for storage of brief notes. Once the child or young person reaches the age of 18 notes will be kept for 7 years in private practice.
I maintain anonymous bullet point notes from our sessions in line with requirements of my professional insurance and also limitation act.
I also keep diaries and financial records for 7 years in accordance with HMRC for the purpose of tax returns.


Do I share your personal data?
I will not share your personal data or use it for marketing purposes. The information collected will only be used to respond to your enquiry and/or make an appointment.

In accordance with bacp ethical practice I do attend monthly supervision to cover clinical practice. I present some content of the work but never share client identity within these meetings. My supervisor also adheres to the same confidentiality system.

Whilst it is very rare that I will need to break confidentiality. There are exceptional circumstances when I will share information to protect you, a vulnerable person, a child or a member of the public, if you share circumstances that become a safeguarding concern. Statutory law requires me to share information concerning serious crimes such as drug trafficking, acts of terrorism, money laundering to the police. I would also have to disclose information if subpoenaed by a court of law. I may also need to contact health professionals and emergency services when appropriate.

To maintain confidentiality in the unfortunate event I can no longer work with you. I have appointed a Clinical Executor who will have access to your details and will get in touch with you on my behalf. The Clinical Executor adheres to the same confidentiality system.

How long do I keep your data?
If you decide not to contract after your assessment session your information will be shredded within 1 month.
If you consent to contract into counselling, I keep contract data and separate brief anonymous notes for 7 years after your last session, in line with insurance requirements.
For children and young people under 18 contract and separate brief anonymous notes will be kept 7 years after the age of 18 has been reached.
All information is confidential data and is securely locked , password protected, document or encrypted memory stick and destroyed at the end of the data retention period.
